Job Summary The Operation Officer is responsible for managing the daily operational activities of the company, ensuring smooth service delivery, maintaining excellent customer service, and supporting business operations. This role includes handling motor insurance renewals, road tax renewals, travel insurance applications, customer enquiries, documentation, and administrative duties while ensuring compliance with company policies and relevant regulations.
Key Responsibilities Customer Service -Assist customers with enquiries via walk-in, telephone, email, WhatsApp, and other communication channels. -Provide accurate information regarding the company's products and services. -Maintain professional and courteous communication with customers.
Motor Insurance & Road Tax Services -Process motor insurance renewals for customers. -Arrange road tax renewals through the relevant authorised platforms. -Handle NCD (No Claim Discount) withdrawal and transfer requests. -Prepare quotations and explain available insurance options to customers. -Ensure all required documents are complete and accurately recorded.
Travel Insurance -Process travel insurance applications for individuals and groups. -Verify customer information before policy issuance. -Coordinate with insurance providers to ensure timely processing. -Maintain accurate records of issued policies.
Travel Operations Support -Assist in preparing travel documents and customer itineraries. -Coordinate with suppliers, hotels, transport providers, and other service partners. -Support the operations team in ensuring smooth execution of travel arrangements.
Administrative Duties -Maintain customer records, operational documents, and filing systems. -Prepare daily, weekly, and monthly operational reports when required. -Monitor and update operational databases and company systems. -Perform data entry accurately and efficiently.
Compliance & Quality -Ensure all transactions comply with company procedures and applicable regulations. -Maintain confidentiality of customer information at all times. -Ensure accuracy and completeness of operational documentation.
General Responsibilities -Work closely with other departments to achieve company objectives. -Assist in promotional campaigns and operational events when required. -Perform any other duties assigned by Management from time to time.
Job Requirements Diploma or Bachelor's Degree in Business Administration, Tourism Management, Hospitality, or related fields. -Fresh graduates are encouraged to apply. Relevant working experience is an added advantage. -Good communication skills in Bahasa Malaysia and English. -Computer literate, particularly in Microsoft Office (Word, Excel, and Outlook). -Strong organisational and time management skills. -Able to work independently and as part of a team. -Detail-oriented with good problem-solving skills. -Positive attitude, responsible, and customer-service oriented.
