Job Description
Key Responsibilities:
- Recruitment & Staffing
Manage the full recruitment process for foreign employees.
Prepare offer letters, employment contracts, and onboarding documents.
Coordinate employee induction and orientation programmes.
Arrange and monitor onboarding for new employees.
- Employee Administration
Maintain accurate employee records and personal files.
Update HR databases and employee information.
Monitor attendance, leave records, and disciplinary matters.
Prepare HR correspondence, including confirmation letters, warning letters, transfer letters, and termination notices.
Ensure proper filing and confidentiality of employee records.
- Statutory & HR Compliance
Handle employee registration and updates for EPF (KWSP), SOCSO (PERKESO), EIS, PCB, and other statutory requirements.
Prepare and submit statutory documentation as required.
Ensure employee records are updated for statutory compliance.
Liaise with relevant government agencies regarding employee matters.
Ensure compliance with the Employment Act and company HR policies.
- Foreign Worker & Immigration Management
Liaise with the Immigration Department of Malaysia on all foreign worker matters.
Process and monitor work permit (PLKS) applications, renewals, Special Passes, and related immigration documentation.
Coordinate passport renewals, visa renewals, permit cancellations, and repatriation processes.
Monitor passport and work permit expiry dates to ensure timely renewal.
Liaise with recruitment agencies, embassies, and government authorities regarding foreign worker documentation.
- Government & Regulatory Liaison
Liaise with relevant authorities such as:
Jabatan Imigresen Malaysia
Kementerian Dalam Negeri (KDN)
Foreign Workers Centralized Management System (FWCMS)
Kumpulan Wang Simpanan Pekerja (KWSP)
Pertubuhan Keselamatan Sosial (PERKESO)
Lembaga Hasil Dalam Negeri (LHDN)
Handle security personnel vetting, documentation, and regulatory submissions.
Ensure all employee licences, permits, and documentation remain valid and compliant.
Requirements
Diploma or Bachelor's Degree in Human Resource Management, Business Administration, or a related field.
Minimum 2–3 years of HR experience (experience in the security industry and foreign worker management is an advantage). Without experience also can join.
Good knowledge of Malaysian Employment Act, immigration procedures, and statutory requirements.
Familiarity with KDN, Immigration, FWCMS, KWSP, PERKESO, and related government portals is an advantage.
Strong organisational, communication, and interpersonal skills.
Proficient in Microsoft Office applications.
Able to work independently, manage multiple priorities, and maintain confidentiality.
